• Authentication data: account identifiers, tokens and authentication status needed for email and third-party sign-in; we do not directly store user passwords;

For company or contact information not collected directly from you, we will record the source and offer reasonable correction, objection or deletion routes.

3.1 Providing Accounts and Platform Features

We process account, authentication, public-profile, community-interaction, message, connection, submission, review and event-registration data to create and maintain accounts, support email and third-party sign-in, display profile information users choose to make public, and provide community interactions, messages, user connections, directory claims, submission review and event registration. We may also send account verification, security alerts, service changes and other essential service notices. These essential notices are not marketing communications and may not be disabled while the account remains active. Legal basis: performance of the Terms of Use or steps taken at the user’s request before entering into or performing the Terms.

3.2 Operations, Support and Security

We process account information, communications, technical logs, device information and platform activity necessary to operate the website, provide support, troubleshoot problems, prevent fraud and abuse, and protect accounts, users and the platform. Legal basis: performance of the Terms of Use, compliance with legal obligations, and our legitimate interests in maintaining a stable, secure and properly functioning platform.

3.3 Sending Optional Marketing Communications

We process the user’s name, email address, company, job title, subscription preferences and email open and click records to send product updates, event invitations, platform news and promotional emails only after the user provides affirmative consent through a separate option that is not pre-selected. Marketing consent is not required to register or use the core Services. Users may withdraw consent at any time through the unsubscribe link, account settings or service@energyplanet.global, without affecting the lawfulness of processing before withdrawal. Legal basis: the user’s separate, affirmative consent.

3.4 Analysing Usage and Improving Products

We process cookie identifiers, device and browser information, pages viewed, clicks, scrolling, referral pages, sessions, performance data and error information to understand website use, measure feature performance and improve our products and Services. Legal basis: user consent for non-essential cookies and related analytics technologies; our legitimate interests may apply to necessary aggregated, anonymised or security-related analysis.

3.5 Advertising Measurement, Retargeting and Audience Analysis

We also consider the privacy rights, objections and deletion requests of affected individuals. Legal basis: requests made by companies or their authorised representatives, reasonable public sources, and our legitimate interests in providing accurate industry information and maintaining the directory.

3.8 AI-Assisted Translation

We may process articles, submissions or other content requiring translation to provide AI-assisted translation. AI is currently used only to assist with translation and not to make automated decisions producing legal or similarly significant effects on users. Legal basis: providing the service requested by the user and our legitimate interests in improving the accessibility of multilingual content and operational efficiency.

3.9 Legal Compliance, Complaints and Protection of Rights

We may process account information, communications, submissions, transaction records, security logs and other necessary information to comply with legal obligations, respond to regulatory or law-enforcement requests, handle privacy requests and complaints, resolve disputes, and establish, exercise or defend legal claims. Legal basis: compliance with legal obligations and our legitimate interests in handling complaints, resolving disputes and protecting the lawful rights of ENERGY PLANET, its users and third parties.

4. Personal Data in the Company Directory

The directory primarily contains company information but may include names, roles or business contact details of company representatives. We should publish only professional-role information from reasonable public sources or submissions, and not private phone numbers, private emails, identity documents or unrelated data. If directory information is inaccurate, no longer relevant or should not be public, contact service@energyplanet.global to request access, correction, supplementation, objection or deletion. We will verify identity and grounds and explain the outcome.

5. Cookies and Similar Technologies

We use necessary cookies for sign-in, security, preferences and site operation, and enable analytics, marketing and advertising cookies only after consent where required. You can separately accept or reject functional, analytics and marketing categories and withdraw consent through the cookie settings centre. See our Cookie Policy.

6. Sharing of Information

Event registration data will not be supplied to sponsors for their independent marketing merely because you register. If a partner will contact you for its own purposes, the registration page will name it or clearly identify its category, data and purpose, and obtain separate consent where required. We do not sell personal data. If a future model constitutes a “sale” or “sharing” under applicable law, we will update this Policy and provide required opt-out mechanisms.

• When a user sends a message, its content and related identity information are disclosed to the recipient selected by the user. Authorised service providers or personnel may process the information where necessary to provide, secure or lawfully review the feature.

7. International Transfers

The operator is in China, while the website uses Alibaba Cloud infrastructure with servers located in the United States. Other providers may also process data in the United States, EU, China or elsewhere. Information may therefore be transferred outside your residence. We will use contracts, risk assessments, security measures, Standard Contractual Clauses, separate consent or another lawful mechanism as applicable. Protection levels may differ by country.

8. Retention

We retain personal data only for as long as necessary to fulfil the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes and protect lawful rights. After the applicable retention period expires, we will delete or anonymise the data. Where continued retention is required for legal, security or dispute-resolution purposes, access to and use of the data will be restricted.

8.1 Account Data

Account data is generally retained while the account remains active. After account closure, the relevant data is normally deleted or anonymised within 30 days, while backup copies expire according to the applicable security and backup cycles.

8.2 Analytics and Advertising Identifiers

The target retention period for website analytics data and advertising identifiers is six months, subject to the actual configuration of each tool and applicable legal requirements.

8.3 Event Registrations and Enquiries

Event-registration and enquiry data is generally retained for six months after the event or the last interaction. We may retain it for longer where there is an ongoing relationship, an unresolved dispute or the user has consented to extended retention.

8.4 Marketing Subscriptions

Marketing-subscription data is retained until the user unsubscribes or withdraws consent. To ensure that no further marketing communications are sent, we may retain a limited suppression record, such as the email address and opt-out status.

8.5 Contributions and Public Content

Contributions and published content may be retained for publication, display, news-archive and content-licensing purposes. Removal requests will be assessed in light of the nature of the content, the public interest, the licence granted and applicable legal obligations.

8.6 Company Directory Data

We periodically review company-directory data. The relevant information will be updated or removed when it is no longer necessary, is confirmed to be inaccurate, or an approved removal request is received from the company or an affected individual.

8.7 Transactions, Invoices and Disputes

Transaction, invoice and dispute-related data is retained for the periods required under applicable tax, accounting, contractual, audit and limitation rules.

8.8 Security Logs

Security logs are generally retained for six to twelve months. Where a security incident, fraud, abuse or another matter requires investigation, the relevant records may be retained until the investigation and related follow-up are completed.

8.9 Community Interactions, Messages and Connections

Community interactions, messages and connection data are generally retained while the account remains active or for as long as necessary to provide the relevant feature. After account closure, the data is normally deleted or anonymised within 30 days. However, copies of messages retained by recipients, publicly available content, and information required for security investigations, dispute resolution or legal obligations may be retained for longer.

9. Security

We use reasonable access controls, encryption in transit, permissions, logs, backups, vendor management and verification or anti-abuse measures such as Google reCAPTCHA, but no internet service is absolutely secure. We will notify regulators and affected individuals of reportable incidents as required.

10. Your Rights

Send requests to service@energyplanet.global. We may verify identity and representative authority. We will normally respond within the period required by applicable law and may extend where legally permitted for complex requests.

11. Automated and AI Processing

We currently use AI only to assist with translation. We do not use AI to make solely automated decisions producing legal or similarly significant effects, or use private user content to train general-purpose models. If this changes, we will update this Policy and obtain consent where required.

12. Children

Minors should use the Services under guardian guidance. Where processing relies on consent, local consent ages apply; as a protective default, users under 16 require guardian consent. In China, data of children under 14 is sensitive personal information requiring separate guardian consent and dedicated rules. Contact us to delete or regularise data collected without appropriate consent.

13. Third-Party Sites

External links, social sign-in, YouTube players and third-party content are governed by their own privacy notices. We should obtain required cookie consent before loading embedded content where applicable.

14. Changes to This Policy

We may update this Policy for business, technology or legal changes. Material changes will be notified prominently, by account message or email, with an updated effective date.
